Monday started with great news for our team.
After months of preparation, planning, and coordination, a family of four we had been supporting finally get their visa in Japan to begin a brand-new chapter of their lives.
For us, moments like this are always special, not just because another relocation project was completed, but because we were able to witness a family take a big step toward their future.
This case is a good example of what it really looks like to relocate to Japan with family, start a business, and settle into daily life.
At Royal Office, we often meet clients who are excited about moving to Japan, but also unsure about where to begin. This family had similar questions when they first contacted us.
The Beginning: A Family Planning to Move to Japan
When the client first reached out to us, they shared a dream many people have, they wanted to move to Japan, build a business, and give their children an opportunity to experience life and education in a different environment.
However, like most families planning an international relocation, they were facing several uncertainties:
How difficult is it to start a company in Japan as a foreigner?
What are the steps for applying for a Japan business visa?
Can a family relocate smoothly together?
How do children apply for schools in Japan?
What happens after arriving in Japan?
These questions are very common among people researching business immigration to Japan or planning a long-term move. Instead of rushing into the process, we spent time understanding their goals, timeline, and concerns.
Their priority was clear: They didn’t just want to move — they wanted to build a stable life in Japan.
Step 1: Planning the Company Setup in Japan
The first major step was helping the client with company formation in Japan.
For many entrepreneurs, this is one of the most important stages of the relocation process. A properly structured company is often essential when applying for a business manager visa in Japan and building long-term plans.
We worked closely with the client to:
Determine the most suitable company structure
Prepare the required documentation
Plan the business direction before relocation
Set up a registered business address
Ensure everything met immigration requirements
During this stage, there were many discussions and adjustments. Starting a business in a new country requires careful planning, especially when the goal is to relocate to Japan with family.
By the time the company registration process was underway, the client already had a clearer picture of how their future business would operate.
This also gave them confidence that their move to Japan was becoming real.
Step 2: Preparing the Business
Because the client planned to run an online business, we also supported them with EC shop design and preparation.
This stage was important for two reasons:
It helped demonstrate a clear business plan.
It allowed them to begin building their operations even before fully relocating.
Together, we worked on:
Structuring their online store
Planning the product strategy
Designing the EC shop
Preparing for operations in Japan
Many people planning to start a business in Japan underestimate how important this preparation stage can be. Having a clear business direction early makes the entire relocation process much smoother.
For this family, it also meant they were not starting from zero after arriving.
Step 3: One of the Most Important Concerns — Their Child’s Education
For families moving abroad, children’s education is often one of the biggest concerns.
This was also true for this client.
They wanted to ensure their child could enter a suitable school and adapt comfortably to life in Japan. Since school interviews in Japan are usually conducted in Japanese, we provided interpretation support during the admission interview.
On the day of the interview, there was naturally some nervousness. It’s a big moment for any child, especially when it’s in a new country.
Our role was to make the process smoother by:
Assisting with communication
Supporting the family during the interview
Helping them understand the school’s expectations
Ensuring everything went smoothly
Moments like this remind us that relocation is not only about visas and documents, it’s also about people, families, and futures.
Step 4: Finding Housing and a Company Address in Japan
Another major step in the relocation journey was helping the family secure:
A place to live
A company address
Necessary documentation for registration
Finding housing in Japan can be challenging for foreigners, especially when they are relocating for the first time.
We worked with the client to identify suitable options that matched their needs as a family. Our goal was to ensure that when they arrived in Japan, they would not feel overwhelmed by the logistics of settling in.
This stage is often overlooked in many relocation guides, but it plays a huge role in helping families adapt to living in Japan smoothly.
A Meaningful Moment for Everyone
When we said goodbye after completing the final procedures, the family had officially begun their life in Japan.
For them, it was the start of a new chapter. For us, it was a reminder of why we do this work.
Relocation is never just about documents or business structures. It’s about helping people transition into a new environment with confidence.
Seeing families successfully move to Japan and settle down is always one of the most rewarding parts of our work.
